Room reservations

The Louisville Public Library has meeting rooms and study rooms available for the public to use. Whether you need a quiet spot to focus or a space for your group to gather, we have options for you.

Meeting Rooms

Meeting rooms are available for groups of 5 or more. Library and City government groups have first priority. When not in use by Library or City staff, rooms are open to the public.

Meeting rooms are available for:

  • Individual or group study, discussions, and tutoring
  • Nonprofit groups offering educational, philanthropic, or cultural programs
  • For-profit business meetings, training sessions, and retreats

Meeting rooms are not available for:

  • Events where admission is charged
  • Selling, promoting, or marketing a business, product, or service
  • Birthday parties, memorials, receptions, anniversary celebrations, or other private social events

Allow 3 to 5 business days for staff to process your request.

Meeting Room Policies

Please review these policies before making a reservation.

Reservations

  • All reservations must be made at least 48 hours in advance online.
  • Meeting rooms may not be booked on a regular or recurring basis. Sequential bookings meant to create a recurring reservation are not permitted.
  • Set-up and clean-up time must be included within your reservation window. Early access and extended time beyond your booked period are not available.
  • The Library reserves the right to cancel a reservation at any time. If a scheduling conflict arises, we will do our best to find an alternative time.

During Your Reservation

  • Rooms must be left clean and in their original configuration when you are done.
  • The Library reserves the right to charge a damage or cleaning fee starting at $100.
  • The applicant who books the room accepts personal responsibility for any damage or loss to Library equipment and furnishings.
  • Library staff are not available to set up spaces or provide technical support during your reservation.
  • If you plan to use AV or technology equipment, we recommend scheduling a training session with staff before your reservation date. Contact us to arrange this.

Privacy and Promotion

  • The Library is a public space. If your meeting is not advertised as open to the public, you have the right to limit attendance. However, Library staff cannot enforce or guarantee the privacy of any meeting.
  • The Louisville Public Library logo and branding may not be used in any promotional materials for your event.
  • You may use the Library's name and address to let attendees know the location of your event, but not in a way that implies the Library or City of Louisville is sponsoring or partnering with you.
  • The Library will not promote or publicize private events on your behalf.
  • All promotional materials must include the following statement: "This event is not sponsored or endorsed by the City of Louisville or the Louisville Public Library. For more information, please contact [your organization's contact information]."

Fees
Fees are set by the City of Louisville and are subject to change. Louisville and Superior residents, nonprofits, and government groups use meeting rooms at no charge. For-profit businesses are charged per hour. See room details above for specific rates. Louisville Public Library, City of Louisville, and state, county, and local government groups are exempt from all fees.

Supplies
Tables, chairs, and installed AV equipment are included in each space. The Library does not provide office supplies, paper products, easels, signage, or display materials. Please bring any additional supplies you need.

Hours
Meeting rooms are available during regular Library hours only. Reservations must end at least 15 minutes before the Library closes.

Study Rooms

Need a quiet space to focus? Our four study rooms on the second floor are free for all patrons and available for individual study, small group work, and tutoring.

Study Room Policies

  • Reservations may be made up to 1 day in advance online.
  • Each patron may make one study room reservation per day.
  • Maximum reservation length is 2 hours.
  • If you do not arrive within 15 minutes of your reservation start time, your reservation is forfeited and the room may be given to another patron.
  • Reservations must end at least 15 minutes before the Library closes.
  • Study rooms may not be booked on a regular or recurring basis.
  • Use of all study rooms is free for all patrons.
